Check the tone and feel of the photographers' websites/social media and judge who might be the best fit for your industry/sector/charity.

Email your shortlist with a simple outline of the conference details and request a quote.
The photographer will need to know at least three 'W's to send you an initial quote: What, When & Where.
An itemised, more detailed quote can be expected from your chosen photographer once they have all the details of what is expected and what you require.

Use the quotes to evaluate their communication skills and professionalism. Most experienced, high-quality photographers are all around the same price (£900 to £1100 + VAT per day) so it'll really be about who you think will be the best fit.

You'll receive an updated quote to cover everything you need and you can expect any specialized services to be itemized (e.g., Immediate key image feed = £82 + VAT) so you know exactly what you are getting.
